Frankston Pines Soccer Club Player Registration Terms & Conditions (All Players) Effective date: 18 January 2026 These Terms and Conditions apply to all players registering with Frankston Pines Soccer Club (the Club) for community football competitions administered under Football Victoria (FV) and Football Australia (FA). They are intended to be read alongside the FV Registration Regulations, FA National Registration, Status and Transfer Regulations, applicable competition rules, and Victorian child safety and privacy laws. By completing player registration (including via Play Football) the player — or the parent/guardian for players under 18 — agrees to be bound by these Terms and all applicable governing body regulations. Eligibility, Registration and Approvals 1. Registration is not complete until (a) the online registration is submitted in Play Football, (b) required documents are provided (e.g., proof of age, photo), and (c) the Club approves the registration and any applicable fees/deposits are paid. 2. Players must register in the correct age group and competition as determined by FV rules. Any dispensation requests are subject to governing body approval. 3. International Transfer Clearance (ITC) requirements apply to players aged 10+ whose last registration was overseas. Additional documentation may be required for minors (10–17). 4. Dual registrations and transfers are governed by FV/FA regulations and may incur additional steps, waiting periods, or fees. Fees, Payment, Refunds and Consumer Law 5. Season fees and any levies are published by the Club and may differ by age group or competition. Fees include components retained by governing bodies (FA/FV) and insurance levies where applicable. 6. Payment methods may include card, payment plan, EFTPOS or bank transfer as communicated by the Club. Payment plan availability is at the Club’s discretion and may be withdrawn for non compliance. 7. Refunds: The Club will comply with the Australian Consumer Law (ACL). Where consumer guarantees apply (e.g., services not supplied or major failure), the appropriate remedy (refund, credit or resupply) will be offered consistent with ACL. Changepoint refunds are generally not available once a player has been allocated or any governing body fees have been remitted. 8. Nonrefundable components: Once paid or remitted, FA/FV registration fees, insurance levies, transaction fees and already delivered kit items are typically nonrefundable. The Club will act reasonably and not retain more than a fair estimate of loss where a player withdraws before the season commences. 9. Cancellation by the Club or competition administrator (e.g., season abandonment): the Club will communicate available remedies (partial refunds, credits or fee adjustments) proportionate to services not provided, taking into account fixed costs already incurred. Codes of Conduct and Integrity 10. All players, parents/guardians and spectators must adhere to the Club Code of Conduct, Football 11. Victoria/FIFA disciplinary regulations, and Victoria’s Fair Play Code principles of Integrity, Respect, Responsibility, Safety and Fairness. 12. The Club may impose disciplinary action (including suspension from training/matches) for serious or repeated breaches, in addition to any penalties imposed by FV/FA competition authorities. Child Safety and Safeguarding (Under 18s) 13. The Club is committed to the Victorian Child Safe Standards and maintains policies and procedures to prevent, respond to, and report child abuse or misconduct. 14. All team officials and volunteers in child related roles must hold a valid Working with Children Check (WWCC) in accordance with law and Football Victoria policy (subject to limited exemptions). 15. Parents/guardians agree to support the Club’s safeguarding practices, including reporting concerns promptly and following event and changeroom supervision rules. Medical Fitness, Injury, Concussion and Insurance 16. Players warrant they are medically fit to participate. Any relevant medical condition must be disclosed upon registration; the Club may request a medical clearance where appropriate. 17. Concussion: players (and parents/guardians) must comply with concussion protocols and returntoplay guidance issued by FV/FA and Club medical staff/coaches. The Club may require mandatory rest/clearance after suspected concussion. 18. Ambulance and first aid: The Club may call an ambulance where reasonably required. Costs are the responsibility of the player/parent. The Club maintains basic first aid resources but does not guarantee medical professionals at all sessions. 19. Insurance: Limited coverage may be provided via the governing body’s insurer. Players/parents are strongly encouraged to hold private health, ambulance cover and income protection as required. Claims must be lodged directly with the insurer within their timeframes. Privacy and Personal Information 20. The Club collects personal information necessary for registration, competition administration, communications, safeguarding, and compliance. Data may be shared with FA/FV, insurers, competition administrators and service providers for footballrelated purposes. 21. The Club aims to handle personal information in accordance with the Australian Privacy Principles (APPs). Players/parents may request access/correction of their personal information, subject to lawful limitations. 22. Marketing: the Club may send clubrelated communications. You can opt out of nonessential marketing at any time. Photography, Video and Media Consent 23. Unless you opt out in writing, you consent to the Club capturing and using images/video from training, matches and events for club communications, social media and promotional material. The Club will take reasonable steps to respect safeguarding guidelines for minors. 24. Officials, parents and spectators must follow Club guidelines on personal filming/photography and respect requests not to record specific players. Equipment, Uniforms and Facilities 25. Players must wear approved Club uniform and mandated safety equipment (e.g., shin guards). 26. Allocated kit remains Club property unless otherwise stated. Lost/damaged loan items may attract replacement fees. 27. Players and families must respect facilities, venues, vehicles and equipment; damage caused by misconduct may be on charged. Transfers, Clearances and Deregistration 28. All transfers and deregistration’s are subject to FV/FA regulations and competition windows. The Club will process requests within reasonable timeframes once all equipment is returned and financial obligations are settled. 29. Outstanding disciplinary matters or fees may delay approvals consistent with governing body rules. Attendance, Communication and Team Selection 30. Regular attendance at training and matches is expected. Please notify coaches early of absences. 31. Selection is at coaches’ discretion within Club and competition guidelines aimed at fairness, development and welfare. 32. For juniors, a responsible adult must ensure safe dropoff and collection. The Club is not responsible for players left unattended outside scheduled sessions. 33. Member Protection, AntiBullying and Social Media 34. Harassment, discrimination, vilification, bullying (including online) and abuse are prohibited. Breaches may result in Club or competition sanctions. 35. Social media use relating to the Club, teammates, officials or opponents must remain respectful and consistent with safeguarding and privacy obligations. Assumption of Risk and Release 35.1.1.1. Football involves inherent risks including injury. To the maximum extent permitted by law, participants accept these risks. Nothing in these Terms excludes, restricts or modifies any consumer guarantees under the ACL that cannot lawfully be excluded. Complaints and Dispute Resolution 36. The Club encourages early, respectful resolution. Complaints may be raised with the Team Manager, Club Secretary or Child Safety Officer (where relevant). 37. Disciplinary and competition matters may be referred to FV per competition rules. External reporting obligations (e.g., CCYP Reportable Conduct) will be complied with where applicable. Amendments and Notices 37.1.1.1. The Club may update these Terms to reflect changes in law or governing body rules. The current version will be published on Club channels; continued participation after notice constitutes acceptance. Acknowledgment and Consent 38. By completing the registration, the player (or the parent/guardian for players under 18) confirms that they have read and understood these Terms and agrees to comply with them and all applicable FA/FV regulations, Club policies, and codes of conduct.
